90-day success plan

Bringing Automated AI to your company works best with a clear, step-by-step approach that combines tech setup with team support. This 90-day plan outlines a practical roadmap to take your organization from initial launch to measurable, secure success.

The rollout follows three clear phases, where each stage builds the foundation for the next.

Phase 1: Foundation (days 1–30)

Set up access and security, link tools, and deliver quick results with a pilot team.

Phase 2: Department adoption (days 31–60)

Expand access across the team and build Automated AI into daily work.

Phase 3: Governed expansion (days 61–90)

Show real value to leadership and expand to other teams.

Anchoring growth in real operational results ensures your platform scales based on clear efficiency gains, strong security, and genuine team demand.

The goal of the first month is to set up your core workspace and achieve a quick, visible win with a small pilot group:

  • Executive kickoff — meet with leadership, IT leads, and project leads to set clear success goals, budget targets, and pilot boundaries.
  • Workspace setup and Single Sign-On — configure workspace settings, assign admin roles, and link your company’s secure login system.
  • Connect core software — link key company apps needed for the team to fully operate within Rival.
  • Set safety rules — define allowed AI models, set up human approval rules, and establish initial spending limits.
  • Launch first workflow — build and run one simple, high-frequency workflow to prove value and test human approval checkpoints.

Month 1 goal: a fully secure, working workspace running one active workflow that delivers proven time savings.

Phase 2: Department adoption (days 31–60)

Section titled “Phase 2: Department adoption (days 31–60)”

The goal of the second month is to expand access across the full pilot department and build daily operational habits:

  • Department onboarding — expand access from the small pilot group to the entire department using clear user permission roles.
  • Stock the Marketplace — fill your internal Marketplace with pre-approved agents and workflow templates tailored to team tasks.
  • Train your builders — teach key process owners and tech leads how to build custom workflows using RivalBot and built-in tools.
  • Track team usage — monitor daily active users, task runs, and spending through your built-in analytics dashboard.
  • Refine approval steps — review human approval queues to make sure check-ins are smooth and do not slow down work.

Month 2 goal: active, daily platform use across an entire department, backed by clear usage data and safety compliance.

Phase 3: Governed expansion (days 61–90)

Section titled “Phase 3: Governed expansion (days 61–90)”

The goal of the final month is to review real business results with leadership and plan expansion into other teams:

  • Executive Business Review — present saved time, adoption numbers, and safety results to leadership using your executive dashboard.
  • Review and optimize costs — check AI model usage and department budgets to make sure ongoing costs stay predictable.
  • Map other departments — identify high-value routines in other teams, such as Finance, Legal, HR, or Customer Operations.
  • Company-wide expansion plan — publish proven workflows to your company catalog and launch your multi-department rollout plan.

Month 3 goal: a proven business case showing clear return on investment, backed by leadership approval to expand across the company.
